Three years of experience in administrative support and assistance to executive staff is preferred.

 

Main Job Tasks and Responsibilities

  • prepare and edit correspondence, communications, presentations and other documents

  • file and retrieve documents and reference materials

  • conduct research, assemble and analyze data to prepare reports and documents

  • Coordinate, prioritize, manage and maintain executives daily appointments, schedules, appointments, business obligations and travel arrangements

  • arrange and coordinate meetings and events

  • record, transcribe and distribute minutes of meetings

  • monitor, respond to and distribute incoming communications

  • answer and manage incoming calls

  • receive and interact with incoming visitors

  • interact with external clients

  • co-ordinate project-based work

  • review operating practices, streamline work and implement improvements where necessary

  • indentify incidents that require immediate attention in the organization

 

Education and Experience

  • at least 3 years experience providing support at the executive level

Job Overview:
This position provides critical project and program support to the RSC Talent Acquisition team.

ROLES AND RESPONSIBILITIES

COORDINATE RSC TALENT ACQUISITION PROCESS:
-Manage the Talent Acquisition PeopleSoft/ BSI requisition process: Verifying job descriptions, inputting reqs into PeopleSoft, tracking reqs in the system
-Coordinate logistics for candidate interview process; Scheduling interview itineraries through Outlook, arranging travel, communicating itinerary with candidate, interview team and third party recruiters in a timely manner.
-Working closely with Executive Administrators and search firms, schedule executive candidates, arrange travel, communicate itinerary with candidate, interview team and search firms
-Administer on-site assessments; ensuring appropriate environment/conditions; accurate timing and scoring, processing of assessments and distribution of results. Make arrangements with division offices for off-site assessments
-Coordinate logistics of candidates throughout their interview day, adjusting for changes in schedule as needed
-Order background checks through third party vendor and obtain results
-Assist recruiters in scheduling candidates for drug tests
-Trouble shoot issues with vendors
-Input invoices into Oracle
-Process candidate expense reports
-Maintain applicant files
-Track and reconcile candidate travel expense. Work with Travel Company to resolve issues.
-Track and allocate relocation expenses related to home search trips
-Proactively and professionally handle all levels of calls and inquiries regarding talent acquisition processes and resolve routine issues
-Provide support with Talent Acquisition business planning process
-Provide support with Talent Acquisition reporting analytics

SPECIFIC PROJECT/PROGRAM COORDINATION:
-Coordinate blitz days in support of MBA recruiting
-Support the Summer MBA program through pre-planning stages, schedules and logistics of events.
-Track Diversity conference and MBA recruiting expenses to create cost per hire metrics
-Coordinate supplies for Diversity Conferences and candidate packets (includes maintaining par levels, ordering supplies, and shipping supplies to events)
-Manage the processing of referrals and verification for the Refer-A-Friend Program

REQUIRED TECHNICAL EXPERIENCE:
-Minimum of 5 years of progressively responsible experience in coordinating administrative functions in a fast paced, customer service oriented environment
-Excellent Microsoft Office skills- Word, Excel (ability to create pivot tables and formulas), PowerPoint, Outlook
-Oracle experience

REQUIRED EDUCATION:
-High school diploma or equivalent is required

OTHER KEY QUALIFICATIONS:
-Self-starter a must and the ability to engage appropriate resources as needed, work independently on most aspects of job
-Ability to appropriately handle sensitive and confidential information with a high level of discretion
-Critical skill is attention to detail and ensuring accuracy in all communications both verbal and written
-Ability to handle multiple tasks in a fast paced environment while using sound judgment to make accurate, efficient decisions.
-Exceptional customer service focus with all levels within and outside of the organization; frequent interaction with executives and executive administrators
-Excellent organizational and follow through skills are absolutely critical
-Excellent written and verbal communication skills and the ability to act professionally with candidates, other departments and outside contacts
-Problem solving skills and ability to find more efficient processes
-Flexible, ability to adjust to changing situations and remain calm when under pressure
-Enjoy working as part of a team, with multiple customers

PREFERRED SKILLS AND EXPERIENCE:
-Post high school secretarial course work or some college preferred
-Human Resources experience preferred
-PeopleSoft experience desirable

Reports To:  Director Talent Acquisition

Starting Salary Range:  $38,400 - $48,000
